Your advertised number has history
Your phone number may be on the truck, the yard sign, your Google Business Profile, and years of customer contacts. Changing it creates work for the business and confusion for customers. Before replacing a number, look at whether your current phone service supports forwarding unanswered calls.
Operlyn’s missed-call workflow is designed around that approach. Customers continue calling your existing business number. When you cannot answer, conditional forwarding routes the call to your Operlyn number. It is important to understand what stays the same and what changes before testing the setup.
Forwarding is different from replacing a number
Conditional forwarding typically applies when a call is unanswered or the line is busy, depending on the carrier and configuration. It is different from forwarding every call immediately. The right setup lets you answer normally when you are available.
Not every carrier or business phone service uses the same instructions. Check the guidance shown during setup and confirm support with your provider if needed. Do not guess a forwarding code based on another company’s phone service.
- Confirm your provider supports conditional forwarding.
- Understand which unanswered or busy calls will forward.
- Keep a record of how to disable forwarding if needed.
The text comes from your Operlyn number
Keeping the calling number does not mean the text is sent from that same number. In this workflow, your Operlyn number sends the configured text-back message. Identify your business clearly so the caller understands who is contacting them.
This distinction matters when explaining the process to your office staff. The customer calls one number and may receive a reply from another. Staff should know where incoming text replies appear and how to continue the conversation without splitting it across personal phones.
Run a complete call-and-reply test
Use a separate phone to call your advertised number, and deliberately leave the call unanswered. Observe the forwarding behaviour and check whether the configured text arrives. Then send a reply and find it in the Operlyn inbox.
Next, send a response from the inbox and check the customer-side phone. A successful end-to-end test shows more than a saved setting. It helps you see what the customer experiences and whether the person responsible for follow-up can use the workflow confidently.
- Test an unanswered call.
- Check the business name and message wording.
- Send a customer-side reply.
- Respond from the inbox and confirm receipt.
Check hours and handover expectations
Your configured business hours affect when queued text-back messages are sent. Test an after-hours scenario as well as a daytime call so you know what to expect. Do not promise an instant response in advertising if your workflow deliberately waits for your next business-hours window.
Finally, agree on who checks the inbox and when. Forwarding keeps the enquiry connected to your business, but it does not replace a callback, a site assessment, or a confirmed appointment. Those next steps are still your team’s responsibility.
